Meeting Rooms

20161109_155634The South Charleston Public Library allows non-profit groups to use its meeting rooms, providing space is available. For-profit groups may use the meeting room for training or general meetings, but not for sales to the public. Meeting rooms may not be used for personal occasions, such as parties.

Only groups of ten or more may reserve meeting space on a regular basis. Each meeting room seats 30 to 50 people, depending on room arrangement. The Library provides tables and chairs, but does not arrange the room for users. Each meeting room features an 8 x 8′ white board and an 8 x 8′ projection screen.

A wide variety of audiovisual equipment is available for group use, free of charge. If you need audiovisual equipment for your meetings, you must schedule it 24 hours in advance. AV equipment availability is not guaranteed without advance notice.

20161109_155614Groups using either room have access to a kitchenette with refrigerator, sink, and microwave oven. Please note that we are not able to provide necessities for your group.  We do not provide copy, print, scan, or fax services free to groups.

Set up time must be scheduled within normal library hours. All clean-ups must be complete 15 minutes prior to library closing.  All meeting room users are expected to clean up after themselves.

Groups are NOT to use the Library as a mailing address nor as their official address.

Groups that do not abide by Library Policies or the Meeting Room Policy will be asked to discontinue meeting at the Library.

To reserve a meeting room, contact Shawana at the Library at 304-744-6561 to determine availability.

While we attempt to make sure the online meeting room book is accurate, changes in schedule or additional groups may not always be reflected.  LIBRARY PROGRAMS ARE NOT ALWAYS LISTED AHEAD OF TIME.  There are times when the room is booked but does not show on the online calendar.

The meeting room is booked on a first come, first serve basis. Library events have first priority.

Charges and Fees

Non-profit groups whose meetings are FREE and open to the public will not be charged for use of the Library meeting rooms.

Non-profit groups charging more than a $50 fee each for their event will be required to pay $25 per hour for use of the room.

Non-profit groups charging less that $50 each for their event will pay $15 per hour for use of the room.

For-profit groups which meet other requirements for the use of the room will be charge $25 per hour.
